PA - Russian Speaker

Reporting to the CEO of our Retail organisation, the PA will provide full administrative support to the Retail Management Committee, a total of 5 Senior Leaders. This will include co-ordination of the reception/admin team to ensure seamless delivery of service.

Role Objectives

The purpose of the Personal Assistant role is to support the day to day organisation of the Retail Management Committee, at Gazprom Energy. Reporting to the CEO of our Retail organisation, the PA will provide full administrative support to the Retail Management Committee, a total of 5 Senior Leaders.  This will include co-ordination of the reception/admin team to ensure seamless delivery of service. 

Duties & Responsibilities

  • Manage the reception and administration team to ensure the requirements of the CEO and RMC members are met
  • Act as Secretary for the bi-weekly RMC meetings which includes co-ordinating the agenda and presenters, collating the meeting packs and writing up the minutes and action tracker. 
  • Understand the status of all on-going project actions and follow up on deadlines and coordinate responses on behalf of RMC members.
  • Manage the RMC diaries as required including all group appointments, meetings and related arrangements.
  • Ensure efficient flow of information between the CEO and his direct reports.
  • Prioritise any incoming correspondence, responding appropriately during the CEO’s absence
  • Ensure the RMC are provided with the necessary meeting documents in advance.
  • Co-ordinate, book and ensure travel arrangements, including itineraries, venues and accommodation allow for the most effective use of time.
  • Lead or Support the organisation of conferences and events as required.
  • Produce presentations in various formats for Board Meetings and provide translations as required
  • Maintain an effective e-filing system for the CEO and RMC  
  • Preparation of expense forms for the RMC
  • Liaise with internal and external management teams, and the wider PA team as required. 
  • Minute-taking as required at key meetings
  • Translating documents from English into Russian and vice versa.
  • To be aware of and comply with all company policies and procedures, including but not limited to the Gazprom Energy Data Protection policy, Equal Opportunities policy, and the Email and Internet Acceptable Usage Policy, in addition to Fire and Health and Safety Regulations.
  • The job holder may also be required to carry out any other duties within the scope and purpose of this role as requested and in line with business needs.

Experience

  • Experience of managing and motivating a small support team to deliver a seamless, efficient and effective secretarial and admin support function to a management team
  • Proven experience working in a global organisation
  • Previous experience supporting CEO and board members

Education

  • Educated to degree level (or equivalent) or relevant work experience
